What SheetScope checks

Six things in a sales sheet that change your totals.SheetScope checks each one.

A sales file can look right and still add up wrong. A totals row, a misspelt product or a date read the wrong way can quietly change the figures. SheetScope looks for each of these before it counts anything, shows you what it found and lets you decide.

  • 01 · Totals row

    Sample file, Sales register. Row 2542 reads TOTAL with 435,788,700, the sum of the rows above it. After the check, row 2542 is excluded.

    The grand total at the bottom looks like one more sale. Add it in and the year doubles.

    Subtotal, total and grand-total rows are found and left out by default. You can change that in the review.
  • 02 · Spellings

    Sample file, Sales register. Row 196 reads Bottled Water 50cl with a trailing space and row 344 reads SPAGHETTI 500g in capitals. After the check they read Bottled Water 50cl and Spaghetti 500g, like the other rows.

    Capitals and stray spaces split one product across several lines in every ranking.
    SheetScope
    Names that differ only in capitals or spaces are joined, and the review shows how many rows changed. Closer matches, like a plural or a full stop, are offered as a merge that starts switched off.
  • 03 · Dates

    Example. A date column holds 03/04/25, 15/04/25 and 28/04/25. 15/04/25 and 28/04/25 can only be day first, so 03/04/25 is read as 3 April.

    Slash dates can be read two ways. A wrong guess moves sales into the wrong month.

    When the other dates in the column settle the order, SheetScope follows them. When they don’t, you choose day/month/year or month/day/year before anything is built.
  • 04 · Scale

    Example. A column headed Sales ('000) holds 1,250, 860 and 2,040. After the check they read 1,250,000, 860,000 and 2,040,000.

    Under a header like Sales ('000), 1,250 means ₦1,250,000. Miss it and every total is a thousand times too small.

    Words like 'in thousands', '000 or 'millions' in the sales header set the scale, so totals show full amounts. The change is listed in the review.
  • 05 · Returns

    Sample file, Sales register. Row 421 is a return of minus 42,000. After the check it is kept and reduces the total.

    Leave them out and sales look higher than your books say.

    Negative amounts stay in and reduce the total. Leaving them out is a choice you have to switch on.
  • 06 · Currencies

    Example. One invoice in a naira column reads $1,200. After the check it is left out of the naira total and listed.

    A dollar invoice added to a naira total is counted as if it were naira.

    Amounts marked in different currencies are never added together. You choose the currency to analyse, and the other rows are left out and listed. Nothing is converted.

  • Blanks, dashes and n/a stay unknown. They are never read as zero.
  • Blank separator rows are skipped.
  • Excel date numbers become calendar dates.
  • Brackets and a trailing minus are read as negatives.
  • Identical-looking rows are flagged, never removed on their own.
  • Every cleaning change is listed in the review, most with a row count and before-and-after examples. Nothing is applied until you build.

The balance check

Every import ends with a balance checkagainst your original file.

SheetScope adds up everything it found in your file, everything it included and everything it left out, giving a reason for each row it left out. Then it checks that what it included plus what it left out equals what it found.

  1. 01

    Added up again after saving

    Once a file's cleaned records are saved, SheetScope adds them up again. If that total doesn't equal the included total, the import stops rather than show you a wrong number.

    Adding a file to an earlier version runs an overlap check instead. Days, weeks or months that both files cover are found by date, even when one file is daily and the other weekly, and you choose which rows to keep, so no sale is counted twice.

    Traced to the row

    Every cleaned record keeps its sheet and row number. Open any chart value to see the rows behind it, with a check that they add up.

    Gaps stay gaps

    A week with no records shows as a gap, not a zero, and partial weeks are labelled. A comparison with last week or last year appears only when your file has records across that earlier period.

    Printed in the report

    The PDF report ends with the same reconciliation and a definition of each headline figure, so whoever reads it can see where the numbers came from.

Tested on four public sales files of very different shapes: daily coffee shop sales, weekly units numbered from week 0, a promotion test recorded in thousands, and 100 orders with cost and profit. Each file's totals match a calculation done separately, outside SheetScope.

    Suggests your column mapping.

    On the import screen it reads the file and sheet names, column names, value types, number ranges and up to three short examples per column. Then it suggests which column is the date, the product, the branch or the sales value. Columns whose names look personal, such as name, phone, email, address, BVN or NIN, send no examples or number ranges. You confirm every choice.

  2. 02 · Questions

    Turns your questions into calculations.

    Ask “Which branch sold the most in Q4?” and it picks the calculation. SheetScope runs it on your rows, and the answer shows the period, filters and measure it used. One click opens the same view in the dashboard.

  3. 03 · Summary

    Writes a short summary.

    A few plain sentences on the period you chose, written from the calculated results. A summary with an amount or percentage that isn’t in those results, or with cause words such as because or due to, is thrown out. If that happens twice, you see the calculated summary instead, labelled Calculated summary. That one doesn’t use a request.

Week and month columns become one record per row and period. Dated rows are grouped into ISO weeks, Monday to Sunday. Numbered weeks follow ISO numbering, or your own business calendar if you set the date week 1 starts.

It also reads

  • Title rows above the table. The header row is found within the first 30 rows.
  • Several worksheets. Summary, pivot, target, budget and notes sheets are flagged and left out unless you add them.
  • Amounts written with ₦, $, £, € or GH₵, or with a code such as NGN, KSh or ZAR set apart by a space (KSh 1,200). Negatives in brackets or with a trailing minus are read too. Different currencies are never added together.
  • Values in thousands or millions, when the column name says so, such as Sales in thousands.
  • Excel date numbers, turned into calendar dates and noted in the review.
  • CSV files separated by commas, semicolons, tabs or pipes, in UTF-8, Windows-1252 or Latin-1.
